E-signature

Fill in and sign in the same workflow.

Your clients fill in the document in the workflow, read the finished version and sign electronically via wesign. crosstax then files the signed version on the case.

How it works

From form to signed version

  1. Set up the template

Your firm uploads its PDF, such as the power of attorney or the engagement terms, and places the signature boxes in the editor.

  2. Fill in and review

crosstax fills the document with the answers from the workflow and shows the finished version at the signature step. The signature can only be requested once the box below it is ticked.

  3. Confirm contact details, sign

Documents go out only to the email address and mobile number your clients have confirmed themselves; with two signers, the first confirms the details of both. wesign sends every signer their own link, and before signing, each person confirms a code they receive by SMS.

  4. File and prove

Once complete, crosstax files the signed PDF on the case, together with wesign's audit trail if wesign provides it. Under Settings → E-signature you can see what has been signed and what is still outstanding.

Examples

What it looks like in the product

Example view

Power of attorney for a private individual

The power of attorney for the Swiss tax authority or the German tax office is filled in within the workflow. At the end, your client sees the finished document and requests the signature. Anyone filling it in without an account submits it, and your firm reviews it and sends it for signature.

Power of attorney for the Swiss tax authority

I have read the document and confirm that my details in it are correct.

I confirm that my e-mail address and mobile number are correct. I will receive the signing link by e-mail. To sign, I will receive a code by SMS.

Request signature

The signature can only be requested once the box below the document is ticked and the email address and mobile number are confirmed.

Example view

Company power of attorney with joint signature by two

Two people who may only sign together sign the same document. In the workflow, the first also enters the second person's name, email address and mobile number; wesign sends each of them their own link.

Signature: both have signed. Please review the signing authority before the case moves on.

  • Signatory 2 · Max Muster — signed on 09/15/2026

Signing authority reviewed

The power of attorney is only valid with this step. Check the register extract: who signs how, and whether the two persons may sign together.

In crosstax, the power of attorney only takes effect once your firm has reviewed the signing authority. For envelopes with two signers, crosstax adds your firm at wesign as an observer, with the email address of its owner.

Engagement terms in onboarding

For the onboarding of new clients, your firm stores its engagement terms as a template. crosstax fills them in with the answers from onboarding, and your client approves them electronically at the end.

Evidence and control

  • Advanced electronic signature

With an SMS code, wesign reports the signature as an advanced electronic signature (AES). If wesign reports a different level for any signer, crosstax withdraws the envelope.

  • No sending after a change

When your client requests the signature, crosstax checks that the answers and the template are unchanged since they were shown; otherwise nothing goes to wesign.

  • No sending without confirmed contact details

Documents go out only to the email address and mobile number your clients have confirmed themselves. With two signers, the first confirms the details of both, and the evidence records that the second person's details came from the first.

  • Evidence on the case

crosstax stores the signed version and, when it fills the document itself, also the version sent, each with a checksum. If wesign sends a checksum, the signed file is checked against it; otherwise it is marked as unchecked.

  • Your own wesign account

Every firm signs through its own wesign workspace; there is no shared one. The access key is stored encrypted and bound to your firm.

  • In your client's language

wesign's invitation and signing page appear in the language in which your client saw the document, otherwise in their saved language: German, French, Italian, English, or Spanish.

What happens to the data is set out in our privacy policy.

Frequently asked questions

What does my firm need?

Your firm's own wesign workspace with an API key. You store the key under Settings → E-signature and register the webhook there through which signed documents come back; if your workspace's plan is not sufficient, the connection check there tells you. Without a key, e-signature is switched off.

Where can I see what has been signed?

Under Settings → E-signature, per document with its status, such as pending, partly signed, signed, declined, expired or withdrawn at wesign. The signed version is in the case's files.

What happens if a signature does not come about?

If a request expires, is declined or is withdrawn, the signature step shows this, and the signature can be requested again. Every signing link has an expiry date, which crosstax sets itself on every send.
