Sorting documents

A payslip is not a salary certificate. For crosstax, they are two document types.

The AI determines what an uploaded document looks like and distinguishes 37 document types in 8 groups. For document slots with reading, the AI also checks whether the document fits the slot, and the case's file list marks what does not.

How it works

From upload to document type

  1. Upload

    Documents arrive through a workflow's document slots, through your clients' portal or from your firm.

  2. Determine

    The AI determines the document type from the document itself, not from the slot it was put in.

  3. Sort

    The document type becomes the category, in the colour of its group, in your firm's view as well as your clients'.

  4. Correct

    Your firm can change any category, and no machine overwrites it after that. Your clients can correct the category of their own documents, but never against a decision of your firm.

Instead of the salary certificate, your client uploads a payslip to the document slot. If the AI recognises the payslip, the case's file list shows next to the detected type which document the slot expected.

A bank sends a “Steuerbescheinigung” and an “Erträgnisaufstellung”. For this pair, crosstax instructs the AI that the title on the document decides. The rule was agreed with a pilot firm.

Your decision counts

  • Your firm has the final say

    A category set by your firm is overwritten neither by the AI nor by a correction from your clients. A later read does not change it either.

  • Sorted even without AI

    If the AI is not available or does not answer, the category the document slot provides applies. If there is none, the document appears as “Uncategorized” in your firm's list.

  • When sorting happens

    crosstax sorts documents without reading in the background after the upload; for document slots with reading, in the same reading pass.

  • What the AI looks at

    The AI looks at PDFs and photos. For Word and Excel files, the category of the document slot applies.

The AI processing runs in data centres in Europe.

Can my clients change the category?

Yes, for documents they uploaded themselves, as long as your firm has not set the category.
